We pride ourselves on quality workmanship, responsive service, and tight operational discipline — and we're looking for a Bookkeeper who can be the backbone of that discipline on the financial side.
About the Role
We're hiring a Bookkeeper to own the day-to-day accounting operations of the business. This is a hands-on, high-ownership role: you'll manage AR, AP, payroll, job costing, and bank reconciliations, and partner closely with our owner, field operations team, and corporate accounting on financial reporting. The right person is detail-obsessed, comfortable working across ServiceTitan and QuickBooks Online, and energized by the idea of helping us evolve our accounting systems into a sharper management tool.

What You'll Do
Accounts Payable
Download, review, and record vendor and subcontractor invoices in QuickBooks Online; verify against payment history to prevent duplicate payments
Maintain a clean audit trail by attaching supporting documentation from our receipt management tool to QBO entries
Prepare weekly bill summaries for owner approval and process approved payments through Melio
Communicate with vendors on AP questions, discrepancies, and payment status
Support vendor onboarding, offboarding, and ongoing relationship management in coordination with the field team
Accounts Receivable
Create estimates in ServiceTitan and send to customers for approval
Generate customer invoices from completed jobs — pulling from estimates for fixed-bid work or building from time and materials for service orders (with appropriate markup)
Generate and review weekly AR Aging reports; follow up on unpaid invoices via system reminders and direct outreach
Record customer deposits and online payments and apply against the correct accounts
Manage lien notices for accounts past 60 days through our CRM lien platform
Daily Cash & Bank Operations
Check daily POS Pay approvals through Citywide Banks online portal
Record daily income and expense transactions across all bank and credit card accounts (Citywide, Barclay, Home Depot, Visa, Amex, Costco, America First Credit, etc.) via QBO bank feeds
Review daily cash balances and account for net cash changes
Complete monthly bank and credit card reconciliations, ensuring proper categorization of all debits and expenses
Payroll & Job Costing
Process bi-weekly payroll for technicians and virtual assistants in Comploy
Review technician daily timesheet entries, job status updates, photos, and notes; coordinate with the field team to resolve gaps before payroll runs
Help create jobs and schedule technicians in ServiceTitan in coordination with operations
Financial Reporting & Project Accounting
Manage project-level accounting — track income and expenses by project, working with vendors and operations to ensure accurate cost allocation
Provide the owner with weekly income and expense summaries to keep financial metrics on track
Assist corporate accounting with monthly financial report preparation and review (Balance Sheet, Income Statement, General Ledger, Cash Flow) and incorporate adjustments as needed
Systems & Process Improvement
Partner with ServiceTitan to resolve accounting integration issues and maintain the pricebook
Document and update accounting procedures
Support the yearly insurance audit
Help us evolve our accounting systems into a more effective tool for managing the business
What You Bring
Required
3+ years of full-cycle bookkeeping experience (AR, AP, payroll, bank reconciliation, financial report preparation)
Proficiency in QuickBooks Online
Hands-on experience with ServiceTitan (or a comparable field service management platform)
Experience in trades accounting (mechanical, electrical, plumbing, HVAC, or general construction/contractor environment)
Strong understanding of project/job costing
Excellent organizational skills and attention to detail — you build clean audit trails by default
Ability to make competent, informed decisions on day-to-day issues without constant oversight
Strong written and verbal communication skills (you'll interface with vendors, customers, technicians, and leadership)
Authorized to work in the U.S.
Preferred
Experience with Melio for bill pay and Comploy (or similar) for payroll
Familiarity with multifamily property service businesses
Experience managing lien filings and collections processes
Experience supporting yearly insurance audits
Comfort working alongside a remote/VA support team
What Success Looks Like
First 60 days: Confidently running daily AP, AR, and bank feed work; familiar with our chart of accounts, vendors, customers, and ServiceTitan workflows.
First 6 months: Owning the full bi-weekly payroll cycle, monthly bank rec, and weekly owner reporting cadence with minimal handoffs; identifying and resolving systems gaps.
First 12 months: Recognized as the financial operations anchor of Ascent — clean books, clean audit trail, smooth month-end, and meaningful improvements to how we use ServiceTitan and QBO together.
Compensation & Benefits
Salary range: $55,000 – $65,000 annually, depending on experience (with room above this range for candidates bringing strong ServiceTitan + multifamily trades experience)
Paid time off and holidays
Bonuses targeting about 10% of salary
