The Install Coordinator owns each installation from the moment of sale through final completion and inspection. This role is the connective tissue between the sales and install departments - scheduling and dispatching crews, securing permits, managing materials and equipment, and ensuring every project is delivered on schedule, within budget, and to Top Tech Electric & Plumbing standard. The Install Coordinator maintains a clear, current view of installer availability and skill sets, deploys the right team to the right job, and keeps every stakeholder informed from start to finish. Key Responsibilities Crew Scheduling & Dispatch • Plan installation schedules and coordinate crews, installers, apprentices, and contractors from immediately after the point of sale through project completion. • Maintain a current roster of available installers that reflects everyone's strengths and specialties (gas, water, sewer, general plumbing, etc.) to deploy the right team for the size and scope of each project. • Staff each job with one lead installer and two apprentices, adjusting only as project scope requires. • Dispatch installers and apprentices, confirming each team member understands their task and has reviewed the project bid sheet (completed by the sales supervisor) with the Install Coordinator before work begins. • Keep every project on schedule and within its approved budget. Project Oversight, Quality, Safety & Compliance • Monitor job progress, workmanship, safety, and code compliance, holding all work to Top Tech Electric & Plumbing standard for quality and efficiency. • Resolve on-site issues with clients, customers, and crews, and keep stakeholders updated throughout the project. • Ensure all safety equipment and materials are prepared each morning and ready for every team member at a moment's notice. • Confirm each team member maintains proper company attire and a clean, professional appearance and hygiene. Permits & Documentation • Pull permits on jobs that require them or are requested by clients, coordinating with the Permit Runner where one is assigned. • Manage As-builts, CAD drawings, and related documentation, working in a timely manner with engineering and city officials to keep projects code compliant. • Track permit status, correct application issues, and follow up on delays so approvals never hold up an install. Materials & Procurement • Monitor material spending so quantities reflect what each project requires — no overspending or excess leftover materials. Fleet, Tools & Equipment • Monitor tool rentals, returns, repairs, and maintenance daily, maintaining a check-in / check-out sign-in sheet with time and date stamps, job numbers, and client names for clarity. • Account for the day-to-day needs of company-issued work vans and trucks, logging activity into the designated spreadsheet / Excel folder, with fleet rentals and vehicles monitored alongside the Operations Manager. • Handle any employee request for vehicle inspection or maintenance immediately and log it for records. Warehouse, Team Culture & Daily Cadence • Keep the warehouse clean and always organized, using apprentice "shop hours" for cleaning, trash removal, and organizing cages, materials, and equipment. • Champion teamwork, a winning culture, and a winning attitude across the install team. • Stay in constant communication with the sales supervisor and lead installer on each project, acting as the liaison between the sales and install departments. • Huddle daily with the Operations Manager and leadership at Top Tech Electric & Plumbing locations to align on help, training, questions, and concerns. Qualifications • Working knowledge of plumbing and drain installation across gas, water, sewer, and general plumbing scopes. • Experience scheduling, dispatching, and supervising field crews on budget and on deadlines. • Familiarity with the permitting process, inspections, and coordination with engineering and city / county officials. • Strong organizational skills and comfort maintaining logs, sign-in / out sheets, and spreadsheets for tools, materials, and fleet. • Clear, proactive communicator able to bridge sales and field operations. • Commitment to safety, code compliance, and a clean, professional, team-first culture.
