Executive Virtual Assistant / Executive Partner to CEO

Position Summary
The Executive Partner is a trusted strategic ally to high-level visionary CEOs. This role ensures leaders stay focused on growth, sales, design, and client relationships by managing operations, communication, and execution with precision. Executive Partners are not assistants—they are growth catalysts who combine professionalism, initiative, and systems thinking to free executives to operate in their zone of genius.
Core Responsibilities
Execution & Ownership: Take projects from definition to completion. Build SOPs, follow through proactively, and close loops without reminders.
Communication Management:
Triage CEO inboxes and messages with a 2-hour response goal.
Draft and send professional client-ready communications.
Capture and circulate action items from meetings.
Calendar & Scheduling: Protect executive time with assertive calendar management. Confirm and enforce commitments. Anticipate conflicts and solve before escalation.
Systems & Numbers: Maintain CRM hygiene, sales pipeline updates, and reporting dashboards. Translate raw data into actionable insights. Confident with Excel, CRM, and BI tools.
Change Management Discipline: Test and pilot before rollout. Always document, track, and prepare rollback plans.
Process Orientation: Design, document, and improve workflows for repeatability and scale.
Security & Access: Manage clean, traceable onboarding/offboarding of system access. Follow security best practices.
Daily Rhythm: Provide clear communication touchpoints—morning priorities, post-meeting actions, midday check-in if needed, and afternoon completion report.
Qualifications
Proven ability to support C-level executives or senior leadership.
Strong organizational and project management skills.
Confident, assertive communicator able to push commitments forward.
Experience with CRMs, Excel, dashboards, and operational systems.
Professional presence with client-facing communication skills.
Process-driven mindset with attention to detail and risk prevention.
Ability to work in fast-paced, entrepreneurial environments.
