This role blends executive-level administrative support with hands-on bookkeeping and financial management. You’ll manage calendars and communications, maintain accurate accounting records, and coordinate key operational activities that keep our research teams focused and compliant.

Your Role: What You’ll Be Doing
• Provide high-level administrative and executive support to company leadership
• Manage scheduling, meetings, and internal/external communications
• Prepare reports, track priorities, and ensure follow-up on action items
• Maintain accurate financial records for clinical trials and studies
• Handle bookkeeping tasks including account reconciliation, invoicing, budgeting, and expense tracking
• Assist with financial reports and ensure compliance with internal and regulatory standards
• Coordinate office operations, documentation, and audit-readiness
• Act as the point of contact for vendors, clients, and internal departments
• Anticipate leadership needs and proactively manage tasks to ensure operational flow
Minimum Requirements
• Must be willing to work PST hours
• 2-3+ years of combined Executive Assistant and Bookkeeping experience (healthcare, research, or professional services preferred)
• Strong proficiency in QuickBooks and financial record-keeping
• Excellent communication and interpersonal skills with proven ability to adapt to diverse personalities
• Advanced organization, time management, and multitasking abilities
• Strong attention to detail and a proactive, resourceful mindset
• Proficiency in Excel or Google Sheets and familiarity with Google Workspace or Microsoft Office
• Ability to work independently and collaboratively in a small, fast-paced team environment
Compensation & Schedule
• Earnings: $48K-$52K annually (based on experience)
• Benefits: PTO, paid holidays, and partial health, dental, and vision coverage
• Schedule: Monday-Friday, 9:00 AM-6:00 PM CST (with occasional on-call hours as needed)
