Customer Service Virtual Assistant ( Lights Industry )
About the Role
Seeking a proactive and resourceful CSR VA to support my dynamic business in holiday and landscape lighting. You’ll be managing both client-facing and back-end support, helping the business run smoothly—especially during peak seasons.
Usual Key Responsibilities
Respond to inbound client inquiries via email and phone (calls may be routed via VOIP)
Coordinate scheduling of lighting installations and service appointments
Create mock-ups
Prepare quotes, estimates, and invoices
Assist in marketing tasks (basic social media posting, email campaigns, etc.)
Maintain CRM with up-to-date client and project information
Follow up with leads and past customers for repeat business
Tools & Software You May Use
ResponsiBid – Quoting and follow-up
Holiday Home Concept / Jolly Lights – Design and planning (training provided if needed)
Canva – For basic graphics and marketing materials
CRM/Operations Tools:
Markate
Housecall Pro ( REQUIRED )
Jobber ( REQUIRED )
Communication & Coordination:
Google Workspace (Gmail, Docs, Sheets, Calendar)
Zoom, Slack, RingCentral, WhatsApp
Trello or ClickUp (task tracking)
Ideal Candidate
Excellent English communication skills (spoken and written)
Friendly and professional phone presence
Highly organized and comfortable handling multiple tasks at once
Tech-savvy and a quick learner with new tools
Able to work independently and take initiative
Experience with service-based or home service businesses is a strong plus
Bonus: Familiarity with quoting platforms like ResponsiBid or CRMs like Housecall Pro
